Capita – Service Updates Nov 2020

Visible developments made over the quarter include

SIMS ID for “Site Administrator” Users.

Improved Support for SIMS Primary

For sites that use SIMS Primary with have improved the onboarding process within SIMS ID to allow data fromSIMS Primary to be used in SIMS ID provisioning processes.

In the application store, a new; Link SIMS Primary to SIMS ID’ application is available that once installed will allow an authorised SIMS ID Site Administrator to enable and disable the link between SIMS Primary and SIMS ID.

Once SIMS Primary and SIMS ID are linked the data can be used to provision Office 365, Google, etc in the normal manner

Tile store improvements

New User-Defined Group Type

A new group type has been added into group management, this new group type “User Defined” and will allow Local Site Administrators to create a group without the need for any other service being enabled at the site, the group is fully manageable within SIMS ID its details and member can be changed by an admin user at any time. This is to facilitate the based audiancing of tiles based on groups.

New Audience Options

We have added new audience options for tiles and applications within SIMS ID, these new audience options will allow you to configure the tiles available to the users of the chosen group as the intended audience for this tile

Tiles can now be audienced by:

  • House Groups
  • Registration Groups
  • Year Groups
  • User-Defined Groups
  • Admin Users

This is in addition to All users, User Types, and individual user options that were previously supported.

Office 365 integration improvements

New Office 365 Manual Provisioning Options

We have updated the process for manually selecting users to be provisioned into Office 365 in the Office 365 Management page in User Management to allow bulk allocation of users to Office 365. The old method provided a single page that displays all un-provisioned users that could be selected individually to be provisioned to Office 365. This is replaced by the standard ‘people picker’ popup and includes the ability to select groups of users as well as individual users. The new filter for selecting users by group are as follows:

  • House Groups
  • Registration Groups
  • Year Groups
  • User-Defined Groups
  • User Type

Individual users are also still a filter option and users are able to select individual users to be provisioned into Office 365.

Please Note: the picker will only show those users who have not already been provisioned to Office 365.

New Office 365 Onboarding Options

Two new settings have been added to the Office 365 self-onboarding details page, the two new settings are:

  • Use SIMS ID to manage the Microsoft SDS and/or SIMS Timetable to Office 365 calendar integration only
  • Use SIMS ID to provision Office 365 accounts

The settings are required values and only one can be selected. During the onboarding process when selected these settings to update the ‘inhibit updates flag within the Office 365 settings’ which determines if SIMS ID can provision users into Office 365 or is solely used for the management of SDS profiles.

Updated Office 365 User Matching to Use Domain Filter

The user-matching process used within the self-onboarding process has been updated to allow a domain filter to be set rather than just searching against all of the users within an Office 365 tenancy. This is for supporting shared tenancies were returning all users across multiple domains can cause timeouts.

The new domain filter uses the domain that is entered into the Office 365 details part of self-onboarding, and will only return users from Office 365 that use that domain. This will speed up matching users as it reduces the available options and will prevent the time out errors.

Office 365 Retry Sync Update

The re-sync functionality within the Office 365 User Management page has been extended to work for users with a partial success status (blue cloud) instead of only being available for users with a failed sync status.

Any user that has partial success status for longer than twenty-four hours will have a retry button appear next to their list entry within Office 365 User Management which when clicked will update the user to a fully successful sync.

This allows self-fix of stuck O365 synchronisations removing the need to log a support call. This is necessitated by Office 365 taking increased time to process some elements of provisioning. Office 365 now advises that some licensing activities can take up to 24 hours to complete.

Manual SDS provisioning CSVs

SDS CSV reports have been updated to include House/Year/Class/Registration groups. These can be found in the SIMS ID Report Viewer.

SIMS ID forAll Users

General Improvements

Apple ID is now supported as a source of third-party identities. This is only used by specific products.

Minor cosmetic changes have been made to the tiles in the launcher to support longer titles.
